Terms of Service

By creating an account or using SIGNFILE, you agree to these Terms of Service and our Privacy Policy. If you do not agree, do not create an account.

You must be at least 18 years old and legally able to enter into a binding contract in your jurisdiction. By signing up you confirm both. If you are accepting these terms on behalf of an organization, you represent that you have authority to bind that organization.

SIGNFILE provides an electronic-signature workflow: you upload a document, place signature fields, send it to signers, and we collect legally-binding electronic signatures and a tamper-evident audit trail. We are the system of record for the signing event — we do not draft contracts, give legal advice, or guarantee the legal sufficiency of any document you choose to send through the service.

You are responsible for keeping your credentials secure, for the activity that happens under your account, and for the documents and signer lists you upload. Notify us immediately at the address below if you believe your account has been compromised.

Free-tier accounts have monthly document and seat limits as shown on the Billing page. We may change pricing or limits with 30 days’ notice; in-flight documents are honored at the limits in effect when they were sent. Paid plans renew automatically until canceled. Dodo Payments checkout is the billing processor.

You may not use SIGNFILE for: (a) any document or activity that is illegal in your jurisdiction; (b) harassment, fraud, or impersonation; (c) sending signing requests to people who have not consented to receive them; (d) distributing malware or attempting to circumvent our security controls. We may suspend accounts that violate this section.

You retain ownership of the documents you upload and the signatures collected on them. You grant SIGNFILE a limited license to host, process, and transmit that content solely to operate the service for you. We do not train models on your documents and we do not share them with third parties except as required to deliver the service (e.g. our email provider for signing notifications).

SIGNFILE captures each signer's consent to use an electronic signature, the signer's email, IP address, user agent, and timestamp — the four data points most jurisdictions require for a binding electronic signature. You are responsible for ensuring that each signer is authorized to sign the document you send. We make no warranty that a SIGNFILE signature will be admissible in any particular proceeding.

You may delete your account at any time from Settings → Account → “Delete account”. A 14-day grace period begins when you confirm by clicking the link in the confirmation email; during that window you can restore the account from the same page and all your data is reinstated. After 14 days, your identity is anonymized and your Appwrite user record, profile, contacts, and workspace memberships are permanently removed.

Signed documents and audit-trail hashes you authored remain verifiable per ESIGN/UECA and eIDAS retention rules (at least 7 years) — these are required for the signature to remain legally valid. We may retain backup copies for up to an additional 90 days before they expire.

We may suspend or terminate accounts that violate these terms or that we reasonably believe pose a security risk.

THE SERVICE IS PROVIDED “AS IS” WITHOUT WARRANTY OF ANY KIND. TO THE MAXIMUM EXTENT PERMITTED BY LAW, SIGNFILE'S TOTAL LIABILITY FOR ANY CLAIM ARISING OUT OF OR RELATED TO THE SERVICE IS LIMITED TO THE AMOUNT YOU PAID US IN THE 12 MONTHS PRECEDING THE CLAIM, OR $100, WHICHEVER IS GREATER.

Carve-outs. The cap above does NOT apply to: (a) liability for fraud, fraudulent misrepresentation, or death / personal injury; (b) breach of confidentiality; (c) SIGNFILE's indemnification obligations; (d) amounts owed to SIGNFILE (e.g. subscription fees). For those categories liability is unlimited to the extent permitted by applicable law (per the UK's Consumer Rights Act 2015, the EU's Unfair Contract Terms Directive 93/13/EEC, and corresponding German, Irish, and French consumer-protection doctrines).

We may update these terms. Material changes (anything that expands our rights or limits yours) will be communicated by email and an in-app banner at least 30 days before they take effect. Continued use after the effective date constitutes acceptance; if you do not accept, you may delete your account.
